Client Booking Agreement and Travel Terms
Pamzi Luxury Safaris is a boutique travel service registered in the United States and fully compliant with all applicable federal and state travel regulations, Seller of Travel Registration: 2165635-70 and TCRC ID: 709965. We proudly serve clients across the entire United States with a commitment to exceptional care, transparency, and full legal compliance.
All ground operations are delivered through Pamzi Luxury Safaris Kenya, a licensed safari outfitter authorized by the Kenya Tourism Board and other relevant authorities. Pamzi Luxury Safaris Kenya manages accommodations, transportation, guided excursions, and park coordination. Together, our teams deliver seamless, personalized luxury travel experiences that combine local expertise with international hospitality standards.
1. Booking Confirmation
A booking is confirmed upon receipt of payment through the Pamzi Luxury Safaris website or via invoice. Final availability is subject to approval by Pamzi Luxury Safaris Kenya. Once confirmed, clients will receive a detailed itinerary and payment receipt. Early booking is recommended to secure preferred lodges, parks, and travel dates.
2. Payment Terms
A non-refundable deposit of 50% is due within seven days of booking confirmation. The remaining balance is due no later than 90 days before arrival. Bookings made within 90 days of departure require immediate full payment. Failure to meet payment deadlines may result in cancellation and forfeiture of funds paid. Additional charges may apply for credit card payments or late modifications. Approved payment plans must be documented in writing.
3. Chargebacks
By submitting payment, clients agree to abide by these terms and conditions. Clients waive the right to initiate chargebacks or payment disputes for services provided or governed by this agreement’s cancellation policy. Any invalid chargebacks will be contested, and the client will be liable for associated fees and recovery costs. Clients are encouraged to contact Pamzi Luxury Safaris directly to resolve concerns promptly.
4. Cancellation and Refund Policy
Cancellations must be submitted in writing. Refunds are based on the total booking value as follows:
- More than 90 days before departure: 60% refund
- 89–60 days before departure: 50% refund
- Less than 60 days or no-show: Non-refundable
Applicable refunds will be processed to the original form of payment within 21 business days. Additional restrictions may apply for specific properties or experiences.
5. Rates and Price Adjustments
All rates are based on current tariffs, supplier pricing, and exchange rates. Pamzi Luxury Safaris reserves the right to adjust pricing due to supplier cost increases, government levies, park fees, or currency fluctuations. Final pricing is guaranteed only upon full payment.
6. Secure Payments
Transactions are processed through Shopify and Stripe, ensuring PCI compliance and encryption security. Pamzi Luxury Safaris does not store or share client payment information.
7. Travel Insurance
Travel Insurance is mandatory and must be arranged through a third-party provider before your trip.
8. Travel Risks and Safety
By booking, clients acknowledge the inherent risks associated with safari travel. Pamzi Luxury Safaris operates with licensed guides, insured vehicles, and certified accommodations. Clients agree to follow safety instructions and assume personal responsibility for their conduct.
9. Photography and Media Use
Pamzi Luxury Safaris may capture photography and video during trips for marketing and brand storytelling. Such materials may be used without compensation unless otherwise agreed in writing. Guests may opt out by informing their guide at the start of the journey.
10. Vaccinations and Travel Documentation
Clients are responsible for obtaining valid passports, visas, vaccinations, and prescriptions as required. Entry protocols may change; consult medical professionals and official travel advisories well in advance.
11. Park Fees and Optional Add-Ons
Park entrance fees, conservancy levies, and taxes are not included unless explicitly stated. Optional experiences, such as balloon safaris or spa treatments, may be booked separately.
12. Emergency Assistance
Clients will have access to 24/7 emergency support via Pamzi Luxury Safaris' operations team and on-site lodge managers. We coordinate medical and evacuation services when needed.
13. Confidentiality
All communications, pricing, and terms are confidential and may not be disclosed to third parties without prior written consent unless required by law.
14. Client and Agent Responsibility
By booking, clients affirm the accuracy of all information provided. Agents booking on behalf of clients must ensure accurate details and adherence to client preferences. All parties agree to act in good faith and comply with these terms.
15. Acceptance of Terms
By confirming a booking, clients agree that they have read, understood, and accepted these terms. This agreement is governed by the laws of the United States and Africa.
